How do I sign up for camp?
What is your tax ID#?
Our tax ID number is 83-3393406 . This number is also on your email confirmation. Please keep this confirmation for your records. This can act as a receipt for your flexible spending account or child care tax credit. If you lose your receipt please go to the Family Login link on our Home Page and login to have a new confirmation sent to you.
What should my camper bring to camp?
Each camper should bring a lunch, 1-2 snacks, and a refillable water bottle each day. Since we have an outdoor component, we recommend sunscreen be applied prior to drop-off and a hat is recommended. Please see our policy and waiver concerning the application of sunscreen under our FAQ Risk Management category. Electronic devices are not permitted at camp and will be confiscated until picked up by a parent.

Can my child bring a cell phone to camp?
We have a “no-cell phone” policy at Club SciKidz Summer Camps.

What is a typical day like?
Please click here to see The Typical Daily Schedule for grades PK-K and grades 1-8.
Our half day option is only available for grades PK-K. The half day camper’s day will go from 9-1 pm. Pack a lunch and snacks. They will have recess after lunch but will miss our outdoor component in the afternoon and some science activities. If they are already going to school we recommend the full day camp.
What are the hours of the camp?
The camp hours are from 9:00 am to 4:00 pm Monday to Friday. You may drop off your child no earlier than 8:45 am unless you have paid for the Pre-camp services. The Pre-camp is from 8 am to 9 am and the post camp is from 4:00 pm to 5:30 pm.
When can my child be dropped-off and picked up from camp?
Campers may be dropped off anytime between 8:45-9:00 am, and must be picked up by 4:00 pm. The camp runs between 9-4pm. If you need to drop your camper off late or pick them up early, please contact Jacki @ 704-763-8813. You can also notify us of any late/early needs at drop off/pick up.
Do you provide Pre and Post camp services?
We have extended day services at all of our locations. The cost is $35.00 per week for Pre Camp, which starts at 8 am. Post Camp services are from 4:00–5:30 pm and cost is $45.00 dollars per week. There is a bundle of both Pre Camp and Post Camp at a available at a discount. Campers that are picked up later than 5:30 pm will incur additional charges at the rate of $1.00 per minute. Please do not try to drop your child off before 8 am. In a pinch, you can pay the daily rate ($8 for Pre and $10 for Post Camp) that morning if you just need services for that day. All parents should make sure they record the Director’s cell phone in case they need to communicate emergencies during the day.
Will my child receive a camp t-shirt?
A Club SciKidz T-shirt is included with each camp registration. If your child is registered for 3 weeks of camp with us, they’ll receive 1 t-shirt each week of camp! You may purchase extra t-shirts during the online registration process for $12 each.
Campers are required to wear their Club SciKidz camp t-shirt each day of camp, because doing science is MESSY! Campers are also known to spill their lunch, get dirt on their clothes while outside etc. Camper t-shirts also add an additional layer to our campus security by making our campers more visible. Camper t-shirts are distributed in the camp classroom on Monday mornings, and campers are given time to change shirts in the restrooms.
Are there outside activities?
Club SciKidz does have an outdoor component in the afternoons each day. Campers are involved in team and skill building activities with their age group. Activities include: kick ball, soccer, basketball, tug-of-war, water games (Thursdays), team challenges etc.
Also, campers have playground time for 30 minutes after lunch.
Our family’s vacation does not allow my child to attend for the entire week. Can they attend for part of the week?
In order to gain the most from their camp experience and to not disrupt the structure of the camp, partial weeks are not encouraged. The majority of our camps are cumulative, and activities build off of each other from day to day so missing even one day negatively impacts the camp experience. If campers do miss one or more days, there will be no pro-rated refund for days not attended.
What if I want to register but my child will not be four until this summer?
If your child is only 3 years old at this time and will not be four until this summer, we will accept their registration as long as they will be entering PreK4 in the fall. Please note that children going into PK3 classes in the fall (three year olds) or that turn 4 years old after the summer are not eligible.
Additionally, all campers must be COMPLETELY POTTY TRAINED. Campers must be able to take care of all of their restroom needs independently. Our classrooms do not have attached restrooms, and counselors are not permitted to assist campers in the restrooms.
Do you take credit cards?
We accept all credit and debit cards using our online registration service. To register, go to our registration page by clicking on “Enroll Now”. Our registration service also accepts checks.
What if I am trying to register and the camp I want my child to attend has reached its camper limit?
If the camp is full, it will be marked as “Waitlist Only” when you try to register. You are welcome to sign up for the waitlist. There is no cost to sign up for the waitlist. If a space becomes available, we will contact you. You also have the capability of registering for another camp that has space to ensure a spot at camp that week. Look on the Camp locations page to see if the camp is full before you go to the online registration service.
Can friends and siblings be placed in the same group?
If you wish your child to be placed with friends or siblings, please make sure that they are registered for the same week at the same location and in the same camp and let us know in advance by making a note on the registration form or in an email. Please note that we can not discuss another camper’s schedule. Please confirm their status with their parent directly.
Can I observe a camp day or sit in on my child’s class?
Club SciKidz does not permit non-campers (parents or unregistered students) to sit in on our camps. We require all of our employees to undergo thorough background and reference checks. We understand that parents are very interested in what their children are doing at camp. We have, therefore, created our Family Day event. Family Day takes place on Friday afternoons to provide parents with an opportunity to view their camper’s projects and get a better understanding of their child’s camp experience.
How does Club SciKidz deal with the summer heat?
Safety measures include:
- Children at all camp sites will have regular access to water fountains or drinking water taps. Campers should remember to bring their own water bottles and to fill up throughout the day. If a camper forgets a water bottle, a plastic cup will be provided.
- Club SciKidz counselors will plan lower activity games/activities when the sun is the strongest and will take advantage of shaded areas throughout the day.
- Club SciKidz counselors will ensure that hats are being worn. If the Permission to Apply Sunscreen has been signed by parent/guardian, the Director(s) will assist in reapplying sunscreen.
- Campers will be outside for no more than 30 minutes during peak heat of the day.
- If campers are outdoors for more than 10 minutes, counselors will pause every 10 minutes for water breaks.

Tuition
How much is the camp?
Full Day Summer Camp Programs
- Full Day Camps start at $349
- Some camps have an additional $20 lab/materials fee. These camps have an extraordinary amount of supplies or very costly supplies. Most of these camps are $369. These include:

Extended Care
- Optional Before Care – Starts at 8:00am and is $35 for the week
- Optional After Care – 4:00pm – 5:30pm and is $40 for the week
- Optional Before/After Care Bundle – Both Before & After Care for $70.
During the Extended Day hours, we provide an assortment of games, science books, and arts & craft supplies for campers to enjoy during Pre & Post camp. Sometimes campers play on playgrounds (if available). We do not teach science content during these hours.
Half Day Summer Camp Program
For our PK-K campers, in addition to the Full Day option, we offer a Half Day option. The hours are from 9:00am – 1:00pm, Monday – Friday and the fee is $295. Extended Care is not available for the Half Day program.
Are there any discounts?
Yes, we offer a variety of discounts. The early bird discount vary from year to year but is usually between October and January. Other promotional coupons are also mailed or are available on our website from time to time. You should make sure you are on our mailing list to receive discount notices. We also offer multi-session discounts of $10 off multiple camps and multi-sibling discounts of $10 off for more than one camper. Some of these discount will be taken automatically and some require that you enter our discount code. The multi-session and multi-sibling discounts are taken automatically.
Are there any scholarships available?
Club SciKidz Charlotte currently does not have any scholarships.
Can I change a camp or site location?
Yes, and there is no charge for this service! Your request must be in writing (email support@clubscikidz.com), and we will accommodate your request as long as there is room in the new camp or location.
What is your refund policy?
2023 FLEXIBLE CANCELLATION POLICY
Please note that all camp transfer/cancellation requests must be submitted in writing to Jacki@ClubSciKidz.com
If you enroll in camp and your plans change, you can cancel and receive a refund or credit according to our policy. Our policy encourages early decisions so as not to affect other customers or our ability to efficiently deliver our programs, and is based on the fact that supplies are purchased for your child in early spring. Because we cover Active’s registration fees for you, any cancellations will incur a $35 cancellation fee (per camp) to cover administrative costs. There are no exceptions. This should be considered as a deposit which can not be refunded or transferred.
CAMP TRANSFER:
If your child is not able to attend their scheduled camp week(s), we recommend trying to transfer their registration(s) to a different week or location. The new camp week(s) must be within the same summer season, and must have availability. All transfer requests must be submitted at least 1 week before the camp start date. We cannot process a transfer within 1 week of the start date or after a camp week has begun.
Click HERE to check availability. Once you have decided on your new selection(s), email us at Jacki@ClubSciKidz.com with the subject line “Transfer Request.” Be sure to include your camper’s full name and complete details about which camp(s) to transfer.
Example: “Please transfer John Smith’s camp “Master Minecraft Coder” the week of June 13 at Woodlawn School to camp “Great Masters” the week of June 27 at Asbury UMC.”
If you are not able to make a transfer work with your schedule (see above), your options are to cancel for a partial refund or cancel for a partial account credit. As mentioned above, the cancellation fee of $35.00 PER CAMP REGISTRATION applies to every cancellation and is not refundable at any time. If you opt for an account credit instead of a refund, you get first access to registration for the following summer, before the general public. Account credits are valid for 1 year, can be used for any Club SciKidz Charlotte North camps, and can be used for any member of your family.
Our cancellation policy is as follows:
• Receive a full refund through March 31 (Minus the $35 cancellation fee)
• Receive a 75% refund (minus the $35 registration fee) April 1 – May 31. No refunds will be given after May 31.
• Starting June 1, cancellations will receive a 75% credit (minus the $35 registration fee) as long as the cancellation is made at least two weeks in advance of the camp start date. This credit can be used for a different week of camp during the summer or camp in the future. Cancellations made within two weeks of the camp start date are not eligible for credits or refunds for any reason.

ILLNESS/INJURY: If your child has an unexpected illness (ex: Flu/Strep/Covid, etc.) or injury (ex: Broken leg) that prevents them from attending the entire week of camp, please contact us immediately. After a Dr.’s note is provided, 75% of the camp tuition (less the $35 registration fee) will be credited to your account for the following summer.
Account credits are valid for 1 year, can be used for any Club SciKidz Charlotte North camps, and can be used for any member of your family. You will receive first access to register for the upcoming season if you have an account credit on file.
It is camp policy that no refunds will be made in connection with late arrivals, early withdrawals, a camper not liking their camp theme, or camp dismissals due to misconduct. Missed days of camp are not refunded or transferred (e.g. missed Friday and want to come back next week for a day. However, we will do our best to provide you with any materials missed, such as robots, when applicable).

You will receive an automated email from Active once any changes have been processed. Please verify that all camp change details are reflected correctly. If you have any questions at all, please feel free to ask!
Do you take credit cards?

Can I receive a tax write off when I register my child for summer camp?
If you’re registering a camper under the age of 13 and they’re attending a day camp this summer, you may be able to apply paid tuition toward child and dependent care credit.
This is what the IRS website says.
“The cost of day camp can count as an expense towards the child and dependent care credit. Expenses for overnight camps do not qualify. The credit is generally 20% to 35% of non-reimbursed expenses; up to $3,000 in expenses for one child and up to $6,000 for two or more children. The actual credit is also based on your income.”
Please note: Club SciKidz does not offer tax advice. Consult your accountant or tax professional before filing. Your employer may have established a Flexible Spending Account, consult your HR Department to see if your plan covers day camps.

What new camps are you offering this year?
For Summer 2023, we are offering the following NEW camps:
- Jr. Entomologist: 1st-3rd grade
- Minecraft Game Design (Revised for Summer 2023): 1st-3rd grade
- Best of Club SciKidz: Available in all age groups
- Camp Chef Party Time: 4th-7th grade

What are the age requirements of your camps?
For Summer 2023, we will be using grade levels instead of age groups to classify camps. When deciding which camp is best for your child(ren), remember to select the grade that they will be in for the 2023-2024 school year.
For our youngest campers (PreK-K/4-5 yr old), all campers MUST be FULLY potty trained by the time they attend camp. Our program is a structured setting, and we have found that campers who have attended structured preschools and nursery schools tend to be more successful than those who have not attended such programs or have only attended day care. It should also be noted that there is NO nap time, and unfortunately we cannot accommodate campers who need a nap. Refunds cannot be given for younger campers who prove to be unsuccessful in our camp.
Club SciKidz carefully considers the age range for each course as we receive feedback from our instructors, parents, and campers, but at the same time we understand that every child is different. When children are close to the next age group, we allow parents the flexibility in deciding which camp is best for their child. It is important to note that some technology courses require some experience and prerequisite skills, so this should be considered when making the decision. Feel free to give us a call if you’d like some information on which camps might be best for your child.
Please note that you will see camps listed in the PK-K, 1-3, & 4-7 grade categories. As children move towards middle school age, parents can choose to place their child in an older age camp, depending on the child’s abilities and experience with the subject matter. However, be aware that some younger campers may not be as comfortable with older children, and the older group’s conversation will sometimes turn more mature.

Can you make an exception to your age requirements?
Since we have taken into account many considerations in matching our age groups and camp themes, we generally like to adhere to those requirements. Please remember that an age group contains not only a certain intellectual and skill set, but also a certain level of social maturity. These requirements allow Club SciKidz to meet the needs of each camper. If you have additional questions, please feel free to call us.

What general safety measures do you have in place?
Safety is our number one priority at Club SciKidz.
All of our campers are supervised 100% of the time (except while in the restroom). We try to keep our ratio at 10 campers:1 counselor (or 9:1 for PK-K) and have a site director on campus at all times. We do not allow cell phones and other electronic devices at camp because most of them have built-in cameras and we do not have the ability to monitor internet use. Each camp location has a number of staff that are trained in CPR and First Aid. There is also a first aid kit available, as well as personal protective equipment.
All staff go through emergency and crisis management training, as well as basic classroom behavior management. . Staff are never allowed to be alone with children. Campers are required to use the “buddy rule” so they are never alone on campus.
All of our staff are thoroughly background checked and have references. They receive training on sexual abuse awareness and prevention.
What is your medication policy?
If your child has to be given medications at camp, you and your child’s Dr. must fill out our medical form and either email to us in advance or bring that form to camp on the first day. All medications must be given to our Camp Director at check-in. The medication must be in original containers that identify the prescribing physician (if a prescription drug), the name of the medication, the dosage, and the frequency of administration. The medication will be administered by the Camp Director as instructed by you and your doctor.
Campers are NOT permitted to keep any medication during the day – or self-administer any medications such as cough drops, ointments, etc. If your child requires such medication, please contact us and we will make arrangements for you to stop by and administer them yourself. This policy also includes Epi-Pens (and similar medications). Campers are not allowed to hold onto their Epi-Pens. If your child requires an Epi-Pen, it will be given to their Camp Counselor and stored safely in their classroom for emergency use.
Parents are responsible for picking up all leftover medications and containers from the Director on Friday.

Club SciKidz camps are blanketed with a variety of insurance policies.
How do you train your employees?
Employees receive a combination of online and in-person training before the camp season begins. The training includes Club SciKidz Camp Staff Training Package, where we provide frontline staff with foundational knowledge in the areas of camp-centered leadership, creating community, reducing injuries and illness, bullying prevention, risk management, and recognizing and reporting child abuse.
Counselors also go through core competency training in their particular subject areas with a combination of online and hands-on courses.

Do you provide any meals or snacks at your camps?
Club SciKidz does not provide any food service to campers. Parents should be sure to pack a snack and drink for the morning, and lunch and a drink for the lunch hour. In addition, if your child is enrolled in the Post Camp services it is advisable to pack an extra drink and snack.
Some camps do have a component that involve various food items. If your child has specific food allergies or dietary restrictions, please notify the Camp Director at check-in on Monday. You may also include a note in your registration under “medical issues” or “special requests”
Campers may receive a special “treat” such a piece of candy or popsicles on Friday for winning a game. Any “treat” food items do not contain peanuts, as we are a peanut-free zone. We also provide non-food treats as an option for campers (such as stickers, pencils, trinkets etc).
Are Club SciKidz camps appropriate for children with special needs?
Club SciKidz instructors are trained to handle special circumstances to a limited extent. We have found that if children are able to function without an aide at school, they generally are successful at camp. Please feel free to discuss any helpful tips or accommodations that have helped your child be successful at school with your child’s camp director.
If your child does require an aide at school, you must ensure that an aide accompanies your child to camp. All aids must be at least 18 years of age and not related to the camper. Over the years we have had many children with special needs, and they usually do very well. However, if for some reason it is determined that camp is not a suitable sit for your child, the total tuition for camp is non-refundable per our cancellation policy. What is the Camper Welcome Packet?
The Camper Welcome Packet is a four page document containing very specific information about our camps. The packet delivers specific information about, required forms, extended hours, fees, tax id #, what you should and should not bring to camp, our medication policy, etc.

How do I access My Family Account?
When you complete the camp registration, you will receive an email describing your family’s online account. Please safely store this information. Your login informationestablished during registration will allow you access to your account where you can see what camps you have registered for. You can also print off statements for company flex plans and child tax credits.
